Privacy Policy

This Privacy Policy explains how personal information is used in operating the EduAI Nexus: Journal of Artificial Intelligence in Education. MyResearch ID Publishing, an imprint owned and operated by CV Multiartha Jatmika, is responsible for the journal’s publishing operations and associated personal-data processing. Information is handled for specified publishing purposes and in accordance with applicable data-protection requirements.

1. Information Collected

Information provided through registration, submission, peer review, and correspondence may include names, contact details, affiliations, ORCID identifiers, account information, manuscripts, review reports, declarations, and supporting documents. Payment and invoice information may be processed where relevant. Visitors’ technical information may include IP addresses, browser and device information, pages accessed, referring pages, and dates and times of access, depending on the service and its settings.

2. Purposes of Processing

Information is used to administer accounts, assess submissions, arrange peer review, communicate decisions, produce and publish articles, maintain the scholarly record, administer payments, protect the platform, and understand website usage. Optional alerts and promotional communications are distinguished from correspondence needed to manage a submission or publication. Information should be limited to what is reasonably necessary for each purpose.

3. Published Information and Confidential Records

Published articles and metadata may identify authors, affiliations, ORCID identifiers, contributions, funding, and the corresponding author’s contact details where included. Such information may be distributed to Crossref, indexes, repositories, and other discovery services. Private account records, unpublished manuscripts, confidential reviews, and administrative correspondence are not made public merely because the published article is open access. Article licensing and the website’s CC0 metadata statement do not apply to confidential editorial records.

4. Sharing and External Services

Information may be shared with authorised editors, reviewers, production personnel, and service providers where necessary for their assigned publishing functions. Access to unpublished material is subject to confidentiality and the journal’s peer-review and AI policies. Hosting, email, analytics, payment, indexing, and preservation services may process information for their respective functions, potentially in other countries. External services have their own privacy notices. Disclosure may also be necessary to meet legal obligations or investigate publication-integrity concerns under the journal’s policies. Data are not offered to advertisers as a marketing list.

5. Cookies, Analytics, and Website Features

OJS uses cookies to support functions such as sessions and account access. The website also uses Statcounter for visitor statistics. Depending on configuration, analytics services may process cookies or similar identifiers, IP addresses, device information, referring pages, and browsing activity. Such identifiers can constitute personal information even when a visitor has not entered a name or email address.

Visitors may manage cookies through their browser settings; blocking necessary cookies can affect account functions. Statcounter provides an analytics opt-out and information about its data practices. Maps, metrics, and other external features may also connect to their providers. Any consent controls required for non-essential tracking must be applied in accordance with the requirements applicable to that processing.

6. Retention and Security

Account, editorial, and administrative records are retained for the period needed to administer the journal, maintain an accountable publication history, resolve disputes, and meet applicable obligations. Retention depends on the record type and purpose; records no longer needed should be deleted or de-identified. Published articles, attribution, and essential publication metadata form part of the scholarly record and may be retained indefinitely.

Appropriate safeguards include HTTPS access, role-based access to editorial functions, and confidentiality requirements. The publisher is responsible for reviewing access and recovery arrangements.

7. Requests and Communication Preferences

Individuals may request access, correction, restriction, or deletion of their personal information, or raise an objection, where applicable. Requests are assessed subject to identity verification, publishing responsibilities, and applicable requirements. Account deletion does not automatically remove a published article or its attribution; changes to the scholarly record follow the journal’s correction and retraction procedures. Optional promotional messages can be declined without affecting editorial assessment. Necessary editorial correspondence may continue while a submission or publication matter remains active.

8. Contact and Updates
